Telling people what happens to their answers

Write a clear purpose statement, make consent a real choice, and plan how long you keep responses before you collect them.

State the purpose in one sentence

Before the first question, say what the answers will be used for and who will see them. “We use this to reply to your request” is useful; “We value your privacy” is not. If answers will feed an internal report, say that too.

Consent has to be a choice

Do not pre-tick a box, and do not bundle optional marketing consent into the act of submitting. Where consent is the legal basis, record what the person agreed to and when. Optional fields should genuinely be optional, including the email address.

Plan retention and deletion

Decide how long you keep responses and what triggers deletion, then make that match the notice you published. If a respondent asks for their answers to be removed, you need to be able to find them. A retention plan that exists only in the notice is not a plan.
