Separate facts from goals

Collect contact details and company facts in short fields, then ask about goals in longer ones. Mixing both into a single “Tell us about your project” prompt produces answers that are hard to compare between clients and hard to reuse in a kick-off document.

Ask about constraints early

Budget range, deadline, decision maker, and any technical or legal limits shape what you can propose. Ask for them directly, because a plan that ignores them wastes the first meeting. Offer a “not sure yet” option so the field never blocks submission.

Agree the next step in writing

Your confirmation screen should repeat what the client submitted, name the next action and its owner, and give a response window. Keep the intake record with the project file so the brief and the original answers stay together.
