Collect the details needed to price a job accurately, so the first reply can be a useful estimate instead of another round of questions.
Ask for scope, not for a story
Request the items or services, approximate quantity, deadline, and location or delivery format. A single long-text field labelled “Describe what you need” is easy to write but hard to price. Structured fields let you sort requests and spot the ones you cannot serve.
Set expectations about price and timing
Say whether you publish rates or quote individually, and give a realistic response window. If a minimum order or a lead time excludes some requests, state it in the introduction so both sides skip a pointless exchange.
Route by fit
Add one question that separates your core work from edge cases, then route each request to the right person. Keep a short “not a fit” reply template. A fast, clear decline protects your reputation better than a slow, vague quote.
